HVAC Estimating Services in San Diego, California

In San Diego's labs, the air handling is the building's whole reason to exist. Bid it like you know that.

The San Diego Problem

San Diego HVAC splits between work that forgives nothing and work that waits for no one. The lab and life-science buildings run exhaust-driven, air-change-heavy mechanical scope where the equipment schedule reads like an engineering thesis and the owner checks your math. The hotels renovate around guests on schedules that bend but never break. Healthcare and military support ring the county with documentation-heavy steady work. Serving one of those masters with one estimator is possible. Serving all of them is how good shops end up rushing numbers, and rushed mechanical numbers are the expensive kind.

What We Count on a San Diego HVAC Bid

Lab work gets the treatment its specs demand: air handling, exhaust, controls and every equipment connection on the schedule, counted like the owner is watching, because they are. Hospitality gets complete counts across guest floors, central plant and everything between. Healthcare gets institutional-grade documentation. On Complete, your equipment quotes get chased through your vendors as your company, with every return checked so nothing on the schedule goes into your bid unpriced. The San Diego HVAC Market

The lab corridors around UTC and Torrey Pines carry the most demanding mechanical scope in the county and hand repeat work to subs whose numbers hold. The bayfront hospitality strip renovates constantly, tower by tower. Healthcare systems keep expanding, and the military installations feed support facility work that rewards airtight paperwork. Mild climate, serious mechanical market. The comfort work may be gentler here, but the process and lab air is some of the hardest bidding in the state.

The Rules That Shape a San Diego HVAC Bid

The C-20 behind your bid defines the scope you carry, and San Diego GCs read it that way. Title 24 pushes controls and equipment efficiency scope onto nearly every project. Health facility work brings its own requirements the estimate has to respect, and public and federal-adjacent jobs add wage and documentation rules priced from the first line. Lab work adds the quiet rule of this county: the equipment schedule is the estimate, and a missed connection on it is a donation to the job.

The Astra 5 Point Method

Have you heard of the 80/20 rule? Estimating is only 20 percent of winning a bid in the competitive open bid market. Most contractors, and most estimating firms, focus all their energy on that 20 percent. We built our whole service around the other 80: choosing the right jobs, building relationships with the GCs, tracking results, and negotiating the win. You pay for the estimating. The rest comes with it, because it is how we keep you winning, and winning is how we keep you as a customer.

  1. Numbers Analysis. Before we price anything, we work from your numbers: your overhead, your breakeven point, your labor rate and burden, your profit target. If you do not know those rates, we show you how to find them. A bid built on someone else's numbers is a guess wearing a suit.
  2. Project Qualification. We help you choose jobs you can actually win AND make money on. Example: if your breakeven is 55 dollars an hour and the market history on a project type shows it goes at 45, we will call you and tell you not to bid it, because you would be upside down before the first day of work. The next job, where the market allows 65, is the one worth your bid.
  3. Relationship Building. We track down the full bidders list so your bid reaches every GC bidding the project, then we call each one, as your company, to build the relationship and make you their new favorite. We win more second-place jobs than first because of these relationships.
  4. Professional Estimating. Every estimate is taken off piece by piece, so your company can job cost against it and know exactly where the money is. Scope letter with includes and excludes, quoted items to your suppliers, everything reviewed with you before bid day. Your letterhead, your name. No one ever knows you bid with an outside estimating company.
  5. Results and Bid Tracking. We call for bid results and track them so patterns form, then we work the negotiation for you, with your approval on every number. We get bid results about 80 percent of the time. Most contractors never find out why they lost. Our customers do.

The Win Ratio Ladder

Win one bid in fifteen or twenty and your best estimating hours spend the year producing paperwork for other shops' victories. Our customers reach one in five. Some hit two in five out of the gate, and from one in five we push for two in five. In a county where lab and institutional owners invite proven subs back year after year, every rung is also next year's invitation list.

Industry Standard

Before Astra: most contractors win 1 in 15 to 1 in 20 bids. That is a 5 to 7 percent win rate.

1 in 5 = 20%

our customers typically get here quickly

2 in 5 = 40%

where we push next

3 in 5 = 60%

where bid tracking and relationships take you

Winning 1 in 5 instead of 1 in 20 does not just mean more work. It means every dollar you spend bidding buys four times the revenue.

San Diego HVAC Estimating FAQs

Do you estimate lab air handling?

Yes, and carefully. Exhaust-driven, air-change-heavy scope is exactly where a complete equipment count wins and a light one bleeds for the length of the job.

Can you price hotel mechanical renovations?

Constantly. Floor-by-floor phasing around guests carries cost, and when the documents show it, the number includes it.

Do you handle the documentation military-adjacent work expects?

Yes. That work reviews everything, so the estimate is built to the documents and the requirements from the start.

What does an estimate cost?

The honest answer is it depends on the set and the services you pick, which is why the hours quote comes first and your approval comes before any work.
